Keeping Insurance Details Up to Date

Keeping patient insurance records up to date is critical for ensuring smooth billing, accurate eligibility checks, and efficient communication with payers.

NOTE: Insurance can only be used on Laboratory Orders with supported Vendors (Quest, Labcorp, CPL). When using insurance for lab ordering, please ensure the include appropriate ICD-10 codes to ensure insurance reimbursement and prevent balance billing to the patient.

An incomplete or outdated record may cause delays in claims, confusion in patient billing, or interruptions in care.


How to Access and Use the Insurance Section

1. Navigating to the Insurance Section

  • From the Patients list, open the patient profile you want to update.

  • On the left sidebar, under Patient Information, click Insurance.


2. Viewing Insurance Records

  • If the patient has no insurance data, you’ll see a message: “No Insurances Found.”

  • If data exists, insurance carriers, subscriber information, and effective status (e.g., Active) will be displayed.


3. Adding a New Insurance Record

  1. Click Add Insurance Information.

  2. Fill out the form fields (see details below).

  3. Click Save to confirm.


4. Completing the Insurance Form

Field

Details

Carrier

Start typing the insurance company’s name; select from the list.

Group Number

Enter the group or policy number.

Subscriber ID

Enter the subscriber’s insurance ID.

Subscriber

Choose: Self, Parent, Spouse, Other.

Effective Date

Select the start date of coverage.

Subscriber Data

If subscriber ≠ patient, complete first/last name, biological sex, relationship, email, phone, and address.


5. Editing or Deleting Insurance Records

  • To edit, open the record, make updates, and click Save.

  • To delete, click the three-dot (⋮) menu next to the insurance record and select Delete.


Tips for Accurate Entry

  • Use the search bar to quickly find insurance carriers.

  • Always verify effective dates before saving.

  • Ensure subscriber information is complete when the patient is not the primary policyholder.
