Patient Communication: Email, Phone, and Invitations

Keeping the Telecom section of your patient’s profile up to date is essential for timely communication and secure information sharing. This section allows you to manage the patient’s primary email and phone number and to send or resend invitations.

Accurate contact information helps ensure important notifications, appointment reminders, and invitations are delivered to the right place.


How to Access and Use the Telecom Section

1. Navigating to the Telecom Section

  1. From the Patients tab, open the patient profile you want to update.

  2. In the Patient Information module, click the Telecom tab in the left sidebar.


2. Viewing & Editing Email and Phone

  • The patient’s current email and phone number will be displayed.

  • To make changes, simply click into either field.

  • After editing, click Update at the bottom right.

  • Updates are reflected in both the sidebar and main panel.


3. Sending and Resending Invitations

  • On the right-hand panel, you’ll see Invitation history, which tracks previous invitations sent.

  • Each entry shows:

    • The email used

    • The date the invitation was sent

    • Current status (e.g., Pending)

  • To send or resend an invitation, click the Send Invitation or Resend Invitation button.

  • If you’ve updated the email address, the system will confirm before sending the new invitation.


4. Tracking Invitation Status

  • The system shows whether invitations are Pending, Accepted, or Expired.

  • Pending invitations can be resent at any time.

  • Expired invitations display their expiration date.


Fields in the Telecom Section

Field

Description

Email

Patient’s primary email address.

Phone

Patient’s primary phone number.

Invitation History

List of invitations sent, their dates, and current status.

Send/Resend

Action button to send or resend patient portal invitations.


Best Practice Tip: Always confirm the patient’s email address before sending an invitation to avoid errors or delays in portal access.
